How we handle your clients' data is described in the Trainerax client Privacy Policy. Last updated: 9 October 2026.

4. How we use your data
- To create your account, sign you in and verify your coach application.
- To show your coach profile to clients and match you with clients.
- To run the coaching tools: client lists, plan builder, review queue, calls and messages.
- To draft plans and replies for you, follow your instructions and run Autopilot within the limits you set.
- To learn your preferences from your review decisions so drafts match your coaching style.
- For payouts, invoices and tax compliance.
- For quality, safety and abuse prevention, for example reviewing a client complaint.
- To send you notifications you can switch off, and to improve the Coach Service using aggregated or de-identified data.
We do not sell your personal data and we do not use it for third-party advertising.
5. Automated processing and AI services
Some features use AI services to draft plans, replies, call briefs and notes, and to answer low-risk client questions in your name when you allow it. To do this, your instructions, the plans and messages you write, your edits and notes, and the client data needed for each task are sent to our AI providers (currently DeepSeek and Google Gemini for text; Sarvam AI for speech). They act only as our data processors: they may process it only on our documented instructions to give us the result, must protect it with security measures equal to or stronger than ours, and may not use it for their own purposes, including marketing, advertising or training their models. AI output is not medical advice, diagnosis or treatment. You review and are responsible for what is sent in your name.
6. Who we share your data with
- Your clients: your public profile, messages, plans, notes and anything sent in your name (including approved drafts).
- People looking for a coach: your public profile, specialisation, rating and coach code.
- Trainerax administrators: your application, verification documents and activity, to verify you and handle support and complaints.
- Service providers that process data on our instructions: Google Cloud and Google Firebase (servers, database, sign-in, push notifications, storage), DeepSeek and Google Gemini (AI), Sarvam AI (speech), Razorpay (payments and payouts), MSG91 (SMS) and Expo (app updates).
- When the law requires it, or to protect the rights and safety of users, coaches or Trainerax.
- In a merger, acquisition or sale of assets, under the same protections.
7. Calls
Calls are peer to peer and encrypted (WebRTC). They pass through our encrypted relay only when a network blocks a direct connection. We do not record calls. We keep call times and the briefs, notes and action items created around a call.
8. Storage, retention and security
- Your data is stored on servers in India (Google Cloud, Mumbai) and with Google Firebase. Some AI providers may process data outside India under contractual safeguards.
- We keep your data while your coach account is active and delete or anonymise it within 30 days after you close it, except: plans, notes and messages already delivered to clients, which stay in those clients' history (shown as "Former coach" if you ask); payout, invoice and tax records, kept for 8 years as the law requires; and server logs, kept up to 90 days.
- Rejected applications and verification documents are deleted within 90 days of the decision.
- Security includes encryption in transit (HTTPS/TLS), access limited to your own linked clients, hashed passwords and restricted admin access.
9. Your rights
Under the DPDP Act you can access, correct and erase your data, withdraw consent, nominate someone to act for you, and raise a grievance with our Grievance Officer and then the Data Protection Board of India. Use Profile in the Coach app or email teamtrainerax@gmail.com; to delete your account use Profile → Delete account. We respond within 30 days.
10. Age
Coaches must be at least 18 years old.
11. Changes
We will tell you in the app or by email before significant changes take effect, and ask you to agree again when they do.
